Problem

WorkBetterNow encountered a significant challenge in managing commissions, particularly with the increasing number of representatives and the complex commission structure that included a placement + retention component with a revised rate in 2024.

The commission is based on whether the placement was successful and whether it was retained for two months after placement. To process the latter, they had to manually check whether the placement was retained, which wasted time.


Outcome

By integrating our software with their CRM (HubSpot) and spreadsheets, we automated the commission calculation process for WorkBetterNow. When the reps update the CRM and spreadsheet, the calculation automatically happens. This saved them time and effort and ensured accurate and timely commission payments.

What were the pain points?


Here's what troubled them the most:

1. Manual labor in data reconciliation for commission calculation

WorkBetterNow has a bi-monthly cycle. There was a lot of time invested in two tools (HubSpot and Spreadsheets) to check if a placement was made and if any retention commission was due to pay to older deals.


2. Complex commission structure with retention clause and overtime

Edge cases such as retention, replacement for non-retained placements, and overtime calculation made the calculation difficult. They had also changed their commission rate. So, the retention commission in 2024 has two different rates based on when the placement happened.


3. No visibility of approval for commission payout

WorkBetterNow has two approval workflows for overtime and commission statements. It was difficult to get approvals via spreadsheets and emails before the payout cycle bi-monthly.
